Am I able to classify files on my macOS computer?

No. However, you can open files that have already been classified. To do this, install the RMS Sharing application from Microsoft to ensure you can open every type of protected file.

Am I able to access protected files on my mobile device?

Yes. You will need to install the Azure Information Protection app (available from the App Store and Google Play) and log in with your PirateID username. If the protected files do not automatically open in the Azure Information Protection app, you may need to manually select and open the file.

Do I need to be on an ECU-owned device to use this system?

No. As long as you have installed the correct application (either the Azure Information Protection Client for Windows or the RMS Sharing application for macOS) and have signed in with your PirateID and passphrase, you can use this system. Please do not sign in to this application on a public computer.

Do I need to be on campus to use this system?

No, you can access protected files from anywhere as long as you have the correct application installed and have signed in with your PirateID and passphrase.

What's the difference between classifying and protecting?

You classify documents by assigning a label according to the type of information contained in that document. For example, a document containing social security numbers might be labeled SSN - ECU Only. Once an appropriate label is assigned to a document, it is protected and can only be opened by those users with appropriate permissions to read a document containing social security numbers.

Think of choosing the label - classification - the same as choosing a file cabinet in which to store the document, and the protections for the document as the key to the filing cabinet. Only those users with the correct key, or permissions, can open the file cabinet and access the document.

What if I choose the wrong classification? Can I change it?

Yes. Click the pencil icon beside the classification level and choose a different classification (label).

PLEASE NOTE: Any user who opened the protected document will continue to have access for at least 30 more days. Please double-check your classification level before sharing any document.

Can I send a protected file outside ECU?

Yes. When you choose a classification with "- Specific Users" at the end, you can choose whomever you'd like to access the document. Any label that ends with "- ECU Only" will only be available to users with an @ecu.edu email address.

When should a file be classified?

You should classify a file as soon as you know that it contains information that needs to be protected. However, in no case should it be protected after it has been shared with anyone else.

Does this system also apply to physical documents that my unit keeps?

Yes and no. This system is based around the ECU Data Classification Standard which has been university policy since November 13, 2018. However, this particular system only applies to electronic records. You should continue to use the system that your unit uses for physical documents.

I accidentally removed the protection bar. How can I get it back?

In the Home ribbon, click the blue lock icon (see below) and choose Show Bar. You can also classify documents without the bar by using this method if you prefer.""
