Overview
ECU provides Microsoft Exchange Online email and OneDrive cloud storage to eligible users as part of its Microsoft 365 services. Storage allocations are managed to support university business, academic and operational needs while ensuring responsible use of available Microsoft 365 storage resources.
Standard Storage Allocations
Newly provisioned ECU accounts receive the following standard storage allocations:
| Service |
Standard Allocation |
| Exchange Online Mailbox |
10GB |
| OneDrive |
100GB |
Existing accounts with storage allocations above these standard limits will retain their current allocation. Implementation of the standard allocations will not automatically reduce the storage quota of an existing account.
Request Additional Storage
Users who require storage beyond the standard allocation for university business, academic or operational purposes may request an increase by submitting a service request.
Requests for additional storage are reviewed based on the user's storage requirements and the capabilities of the Microsoft 365 license assigned to the account. Were appropriate, users may be asked to review or manage existing content before additional storage is allocated.
Storage Allocations and Microsoft 365 Licensing
Microsoft 365 licenses establish the services and maximum storage capacities available to an account. A Microsoft-published service maximum does not necessarily represent the storage allocation provided by ECU.
Actual mailbox and OneDrive quotas are determined by ECU's storage policy and may not exceed the limits supported by the Microsoft 365 license assigned to the account.
This policy applies to faculty, staff, students, alumni, and other eligible ECU accounts. Account type or licensing may affect the maximum amount of storage that can be provided.
Changes in Account Status or Licensing
An account's access to Microsoft 365 services may change when the user's affiliation with the university or assigned Microsoft 365 license changes.
When an account transitions to a license with a lower supported storage capacity, the account may be subject to the limits of the new license. Users should follow applicable ECU account transition and data retention guidance when their university affiliation changes.
Storage Management
Users are responsible for managing the content stored in their ECU mailbox and OneDrive and should periodically remove content that is no longer needed.
University records and data stored within Microsoft 365 remain subject to applicable ECU data governance, records retention, security, and acceptable-use requirements.
