Click Help in the Teams menu to access training and to find out about new features. 

How do I create a team?

Click Teams in the sidebar menu to access your teams or create a new team. Double-click an existing team to open the collaboration space.

Is there a limit to the number of teams I can create?

Currently, a user can create up to 250 teams.

Click the Create Team link, choose the team type, add the name and description. Private (only you can add members) is the default setting. All teams are private by default to protect sensitive information.

To make a team public, and therefore discoverable, submit the Teams service request.

What is the difference between a team and a channel?

Team is a collection of people, conversations, files and tools. A Channel is one or more discussion topics within a Team.

A team's channels can be open to all team members or made private and available to just a subset of the team's members. The files within that channel are open to those with access.

Can I share with external users?

Yes! You can add a non-ECU collaborator to your team as a guest through an external email account like Gmail or Outlook.com.

A guest account is appropriate for research partners, vendors or consultants. Those without a Microsoft account are prompted to set up the free account and then have full access to chats, files, notebooks, etc.

Guests are subject to the same compliance and auditing protection as Office 365 team members.

What can I share with Teams?

You can share files, folders and tools within your Team.

A Note on Sharing

As with any technology or method used to share files, consider the information shared and with whom it should be shared. If you share content using a link via OneDrive with View Access, recipients are able to download and save your shared content. Documents can also be copied and saved through a screenshot. So, think before you share!

Can I limit access to files and conversations within a Channel?

Channels can be open to all team members or private and open to just a subset of team members. The files within that channel are open to those with access.

Can I drag and drop files within Teams file space?

  • No. To move a file, first select the file, then the new location to move or copy the file.
  • You can also work with Teams files from OneDrive on the web.
  • Drag and drop files from your desktop to a team's channel folder.

Is there a limit on the number of files I can upload to a Team file storage space?

You can move or copy up to 100GB to a team's OneDrive in one session. The number of files being migrated will show in the upper left corner. The status will also show what files were migrated successfully and what files failed (if any).

You can also work with the files from within the OneDrive web space.

Can I delete a Chat?

You can only remove your own messages.

What types of data can I store within a Team (sensitive, FERPA, HIPAA)?

Teams files are stored in a OneDrive folder. OneDrive is approved for storage of both sensitive and non-sensitive files.

You should get approval from your data steward before migrating sensitive information into your team’s OneDrive folder. Never sync a OneDrive folder to your computer that contains HIPAA or FERPA data. Instead, work on those files directly inside of Teams or OneDrive.

Can I add and remove members of a Team?

Only a Team’s Owner can add and remove members and assign permissions.

If the team owner leaves ECU, the team remains. It is recommended that a team owner always assign owner privileges to a second member in case the original owner is unavailable. However, if a team has no owner, a member can submit the Teams service request and be added as the owner.

An owner clicks the ellipsis beside the team name to access the menu. The Manage Team option allows the owner to change the role of other members.

Are there any restrictions on filename characters in a Teams OneDrive space?

Are there any file type restrictions for uploading content into a Teams OneDrive?

Yes. You can easily share Microsoft documents, PDFs and image files, even Adobe files. There are currently no known file types that cannot be added. You can easily share all files within Teams.

Can I sync Teams OneDrive folders onto my local computer?

You can sync Teams folders the same way you sync other shared folders, but it is not recommended. Never sync documents containing HIPAA or FERPA data.

Our Team owner has left ECU. Does the Team still exist?

Yes, the team still exists and members still have access to all information. However, team members cannot add new members or remove existing members.
It is recommended that the owner assign owner privileges to a second member in the case that one of the owner leaves unexpectantly. If this does not happen, a group member can request to be made the team’s Owner.

I will graduate in May. What happens to the files in my Teams OneDrive folder?

After graduation, you will no longer have access to Teams or your Team OneDrive cloud storage folder/s.

If you need to keep the files stored in your Teams File space (Team OneDrive storage), copy those files over to your student OneDrive cloud storage folder, which ports over to the alumni system along with your email.

I am a faculty member leaving ECU. Do I still have access to the OneDrive documents for my team?

No. Once you leave ECU, your PirateID is deactivated, and you can no longer access your Team interface.

Therefore, before your exit date, copy any documents over to a personal space.
