Pilot "Crawl" Phase: ITCS and Data Stewardship Committee

Overview

The Data Loss Prevention (DLP) Project will focus on preventing the loss, misuse, or unauthorized access of sensitive data. This will be achieved by identifying and classifying sensitive information, monitoring and reporting data activity, and leveraging modern technology to replace current manual DLP processes.

The DLP initiative will leverage ECU's existing Data Classification Standards to identify and classify sensitive information while enhancing visibility into how data is stored, shared, and used across the University. In addition to strengthening data security, the project will modernize and streamline current manual DLP processes through the use of automated technologies.

What you should know

► One of the first phases of the project is the implementation of data labeling. These labels will eventually be applied to emails, Office documents, PDF files, and data stored within Microsoft 365 services, including SharePoint and Teams.

► As the program matures, data labels will enable appropriate protections and restrictions based on the sensitivity of the information.

► The project will follow a "crawl, walk, run" approach.

► During the initial crawl phase, data labels will be introduced without enforcing restrictions. This phase is intended to familiarize users with the labeling process, gather feedback, and identify opportunities for improvement before additional protections are enabled.

► ITCS and the ECU Data Stewardship Committee has been selected to participate in the pilot for the crawl phase of the DLP project. As part of the pilot, this group will be added to a policy group that will automatically apply a data classification label to any new Office365 or PDF document you create.

► The DLP pilot is currently scheduled to go live on TBD.
