Overview

Xtender is an imaging and storage system used by administrative staff to capture, organize and retrieve paper and computer-generated documents at ECU.

Follow these steps to index the first page of a batch, then subsequent batch documents into the same or different index.

Step 1

Click your application to open the Query screen. Click CANCEL to open the next screen.

Step 2

Click the File icon, then choose MANAGE BATCHES.

Step 3

The list of all document batches display regardless of user. Pay attention to the Name column to ensure you only work with your batches.

Step 4

Select the document (row) you wish to index. Click the drop-down icon (circled triangle) and choose the INDEX option.

Step 5

Enter all required index field values. Click the SAVE button.

The first page is now saved and not listed as one of the pages in the document.

Create Multiple Indexes from One Batch

Check the index value of each remaining page and process altogether or individually as needed.

The index value of all remaining pages is EXACTLY the same as Page 1:

Click the Attach All Pages icon, then OK on the dialog box to finish indexing.

The index value of the CURRENT page is different from Page 1:

The current page displayed needs a DIFFERENT index value. Check and process each page individually.

Step 1

Click the New Document icon.

Step 2

Enter the index values for this page and click the SAVE button.

Step 3

Go back to Step 1 (this section) and process until all documents to the right have been indexed.

Step 4

Return to the batch list and check if there are anymore batches that require indexing. Click the Uploaded Batches link to return to the batch list of documents.

IMPORTANT BATCH LIST TOPICS

  • Documents left in the batch list are not saved to any specific student.
  • Once a document in a batch list has been deleted, it cannot be recovered.
  • All users with access to the E-MM-PCARD application folder can view, open or delete the documents in this batch list.
  • Be sure to check the batch list of documents every time you log in to Xtender to keep this list emptied.
