Overview

SharePoint site owners are required to:

  1. Audit shared files to ensure members still require access and file permissions. For example, a user may no longer be part of a project.
  2. Audit site members and remove those who no longer require access to the site. For example, a user may have left a project group or the university.

NOTE:

  • You must be a site owner.
  • This process checks both SharePoint and Teams file shares.
  • This process is required each spring and fall to ensure security protections for ECU data.
  • It is recommended you complete this process using a computer rather than a mobile app.

Audit file shares

  1. Click the Settings gear icon (upper right).
  2. Select Site usage. The Site Usage Analytics page opens.

  3. Scroll all the way to the bottom, and within the Shared with external users section of the screen, click the Run report button.

  4. This will generate a CSV file that lists shared files and their properties: Resource Path, Item Type, Permissions, User Name, User Email, User Or Group Type, etc.

  5. You can now decide which documents require an update to users or user permissions. This process is required each fall and spring. 
  6. This report lists both SharePoint site and Teams file shares. 

Audit groups and members

  1. Open your SharePoint site's Home page.
  2. Click the members icon (upper right). The members list opens.

  3. If a member needs to be removed, click the down arrow beside their name and choose remove from group.
