Which users are eligible for a Microsoft 365 subscription?

Full-time employees, enrolled students and some types of unpaid affiliates (HR determination) are provided an full A5 Microsoft 365 license in effect until they graduate, retire or otherwise leave ECU.

Most unpaid affiliates are provided an A1 license that does not include the five Office Suite downloads for personal computers. Alumni have a limited subscription that includes email and storage.

Are retired faculty and staff eligible for Microsoft 365 from ECU?

No, only current employees and certain types of unpaid affiliates (HR determination) are eligible for the full Microsoft 365 subscription. Most unpaid affiliates are eligible for a "lighter" version of Microsoft 365.

Retired faculty are entitled to keep their ECU email active and any websites on ECU servers used for ECU work/research.

Can I use Microsoft 365 applications when I'm offline?

If you have downloaded the full Office suite to your computer, you don’t need to be connected to the internet all the time to use the desktop programs like Word and Excel.

However, you must log in to the internet at least once every 30 days for your Microsoft 365 license to sync with Microsoft. Otherwise, your account will stop working until you sign in to your account online at pirate365.ecu.edu.

I have an account with ECU, but I am not an employee or enrolled student. Do I have an Microsoft 365 subscription?

Certain types of unpaid affiliate (HR determination) who have a Banner number receive an A1 license that includes most features like Teams, SharePoint, OneDrive, email and Office apps online. Other types of unpaid affiliate (HR determination) receive an A5 license that does not include Office Suite computer downloads.

After graduation, students keep their OneDrive storage and email converts to the alumni email system.

Employees who retire are able to keep their ECU email address active.

Is my Microsoft 365 subscription available to me after I graduate?

Your ECU Microsoft 365 email and OneDrive cloud storage automatically transfer to an alumni account one semester after graduation. However, your Microsoft 365 Office download subscription expires.

What happens to my old Outlook, SharePoint and Teams accounts?

Oftentimes, when an employee leaves or changes roles or a project ends, user groups with associated services like Outlook, SharePoint or Teams are inadvertently abandoned. Not only are these a storage space issue, but abandoned groups may pose a security threat.

Therefore, ITCS enforces Microsoft group expiration policies. Groups are deactivated after 365 days of inactivity along with any associated content residing in Outlook, SharePoint Teams or Power BI. Account owners receive notification 30 days, 15 days and 1 day prior to deactivation. Resuming activity within the group services automatically renews the expiration. After deactivation, owners still have a 30-day window to reactivate the group.

What if I leave ECU? Will I still have Microsoft 365 Office on my personal computer?

Once you leave ECU and your account is deactivated, the Microsoft 365 desktop software no longer works on your personal computer, and documents saved to your computer become read-only.

Faculty and staff who retire or leave ECU lose their Microsoft 365 subscription. Documents become read-only.

Graduating students retain email (migrates to alumni system) and OneDrive cloud storage, which includes Office Online apps (the online version of Office).

What if I need to install Microsoft 365 Office on more than five computers?

You only have five licenses. Therefore, you must first deactivate one license before installing Office on a new computer. License management is done through the Microsoft 365 settings screen.

How do I deactivate a Microsoft Office license?

Your five Office licenses are managed from Settings. Each license you have installed is listed. To free up a license, click the deactivate link underneath one of the listed computers. You can now install Office on another computer. Remember that it no longer works on the original system, and all files are now read-only.

What if Microsoft comes out with a software upgrade? How do I upgrade my version of Office?

Microsoft 365 software and security patches are monthly downloads. Your computer updates in the background. This includes operating system upgrades and security updates.
