Overview

Microsoft is now closely managing Exchange mailbox storage space and is setting lower quotas for all users. This reduces the risk of a security breach due to "data sprawl" and gives ECU the opportunity to modernize our account life cycle so your information is better protected.  

See the quotas set for user groups below. Most users will work well within their quota; however, if you feel you require more space, submit the ECU Email Support request

Faculty, staff, unpaid affiliates

Storage quota: 50GB

Auto-archiving process: Inbox messages older than 2 years automatically move to your Online Archive folder. Archived items do not count as part of your mailbox quota, but are available at any time and included in searches. The folder maintains the same folder structure as your inbox. 

If your mailbox reaches 80-90 percent capacity, an email alerts you. Manually move or delete items or request more space. An increase in your mailbox quota must have a business justification.

Storage quota: 25GB

Student, alumni and retiree mailboxes do not have the Online Archive folder.

If your mailbox reaches capacity, you can no longer receive new messages until manually reducing the number of emails.

Review online

  1. Sign in to your Microsoft 365 home page at pirate365.ecu.edu.
  2. Click the app launcher icon (upper left).
    ""
  3. Choose Outlook from the flyout menu. Outlook opens.
  4. Select Settings (top right). The settings dialog box opens.
    ""
  5. Choose General, then Storage. Choose a folder, such as Deleted Items and click the drop down to empty the folder. Choose delete all items or a time frame.

Review Outlook desktop app

  1. From the open Outlook desktop app, click File. Your account information opens. The Mailbox Settings area shows your storage stats.

Add usage to Outlook status bar (Windows)

  1. Right-click the status bar in the Outlook desktop app. The Customize Status Bar dialog box opens.

  2. Click Quota Information. Your stats show in the lower left corner of the app at all times.
