Auto-forwarded email. The ability to auto-forward ECU email to an external email account is disabled for users. Forwarding email to other users or a folder in your inbox is allowed. Be sure to follow encryption rules, if applicable.

Data Loss Prevention (DLP). DLP prevents the accidental breach of sensitive information through an unencrypted email sent outside the ECU network.

Department email account. It is recommended that departments create a Team or SharePoint site for department members. There is an email address attached as well as storage for documents and more. For other options, contact the IT Service Desk at 252-328-9866.

Email encryption. Email encryption is a security standard that scrambles an email message so that only the sender and recipient can read the message. ECU staff are required to encrypt messages containing sensitive information sent to recipients outside the ECU network.

Email expiration and management. Mailbox items do not expire. Users manage where and how long messages are stored. Some users have an online archive folder (100GB) available through Outlook and the Outlook Web App (OWA). The online archive folder is not available in the mobile app.

Email setup. A PIN is required to set up the Outlook mobile app.

Exchange cached mode Your cloud mailbox items are synced to your computer to allow working offline.

Exchange spam filter Microsoft Exchange Online Protection’s spam filter screens and quarantines suspicious email before it reaches your inbox. Spam is sent to the Outlook Junk folder. Bulk messages (like marketing email and newsletters) are delivered to your inbox.

External sender banner To assist you in identifying messages coming from a non-ECU address, an external sender banner is added to the top of any email sent from outside ECU. This awareness campaign may help determine whether an email is legitimate or a possible phishing scheme.

Multifactor Account Authentication MFA, also called two-step account authentication, is a security action to verify your identity during log in to Office 365 (including email) from a non-ECU network or VPN connection. You will be prompted to set up this security feature the first time you log in to your email account.

Office 365 Groups Microsoft groups is a collaboration service. For example, when you create a team in Microsoft 365, the users you add become a group that has its own email address, calendar, file storage, meeting tools and more. Browse groups you have created or to which you belong within Outlook. Groups can also be used in place of the traditional email distribution list. Learn more from this Microsoft support article.

Outlook email management software and mobile app Outlook is the only supported email management client for Mac, PC and mobile devices at ECU. Outlook is installed on university-owned computers and is also part of the MS Office software available through a faculty, staff and student.
